About Draftable

Draftable makes document comparison and metadata cleaning software for law firms, legal teams and large organisations. More than 2,400 organisations use it, including over 1,400 law firms and legal teams worldwide (Draftable). Its products include Draftable Compare, Draftable Clean and a REST API for developers who want comparison inside their own platforms (Draftable).

Before Journeybee: The Challenge

Before Journeybee, Draftable’s partner program ran largely on email. Materials, deal updates and status checks all went through inboxes.

  • Email for everything: Partners and the Draftable team relied on email to share materials and deal updates. Information was spread across threads, not held in one place.
  • Partner deals the team couldn’t forecast on: Fewer than a quarter of partner deals reached the CRM early enough to forecast on. Most of the partner pipeline only showed up late, or not at all.
  • Admin creeping in: Around 10–20% of the team’s partner-related time went to manual admin: updating records, chasing deal status and re-sending materials.
  • A CRM full of edge cases: Draftable’s HubSpot instance is hard to work with. Any PRM had to fit around it, not the other way round.

Why Draftable Chose Journeybee

Draftable chose Journeybee for the depth of its API. Draftable tried the native HubSpot integration first, but there were too many edge cases for a standard connector to cover. The API let the team build a custom engine that matched how its HubSpot instance actually works. Draftable is one of the first Journeybee customers to use the API to its full potential.

Two other factors helped: a simple frontend, giving users a clean, easy interface while complex logic runs underneath; and competitive pricing, with strong value for what Journeybee delivered.

“The depth of the API integration is really what sold us. Our CRM, HubSpot, is pretty hard to work with, so creating a very custom engine worked well for us.” — Russell Ballard-Waters, Lead Customer Support Engineer, Draftable

Native integration vs. API-first build

The native HubSpot integration struggled with Draftable’s many edge cases. It offered standard field and object mapping, exposed complexity to the team as workarounds, and limited room to grow to what the standard connector supported. The custom engine on the Journeybee API is built around how Draftable’s HubSpot actually works, with custom logic, workflows and data flows. Complexity is handled in the engine, out of users’ sight, and the setup evolves with Draftable’s scaling needs. Both approaches use the same simple Journeybee interface.

During Implementation: The Transition

Draftable describes the implementation as structured, efficient and collaborative, with Journeybee adapting to its specific requirements and customisations. It took about as long as Draftable expected. It wasn’t smooth at first. When Draftable started, Journeybee’s API wasn’t fully built out yet and the native integration couldn’t handle Draftable’s edge cases. The early weeks were frustrating.

Journeybee’s customer success team made the difference. Draftable describes it as strategic consultants, not a help desk: the team joined calls, guided onboarding and worked through Draftable’s edge cases with them. The team was exceptionally fast and solution-oriented; requirements and questions never went unanswered for long. A direct line to product meant feedback and custom requests quickly became product changes. Support stayed close while the API matured, so Draftable kept going instead of giving up.

“I felt incredibly supported. Our requirements and questions were never left hanging for long. Having patient, dedicated customer success was critical to how well this went.” — Russell Ballard-Waters, Lead Customer Support Engineer, Draftable

Then Journeybee shipped its major API release, and things changed almost overnight. The gaps that had slowed Draftable down were closed, and the team could move from working around limits to building out the program.

“It was a bit frustrating initially, because the API wasn’t fully set up yet. Then the big launch came out and essentially it all changed overnight. There are no blockers now. We have to build it out.” — Russell Ballard-Waters, Lead Customer Support Engineer, Draftable

After Implementation: The Results

Draftable now runs its partner program on a custom engine connected to HubSpot, with Journeybee’s frontend on top. Draftable credits Journeybee with an efficiency gain of around 30% across its partner program.

1. One Source of Truth, Built Around HubSpot

The HubSpot connection, built on Journeybee’s API, changed the team’s day-to-day work in three ways: sales and channel teams share a single source of truth; manual data entry and cross-platform syncing have been cut, with around half of that work gone; and the team stays in HubSpot, its main CRM, while working with partners. Before Journeybee, records were updated and synced by hand and information was spread across inboxes. Outcome: Around 50% less manual data entry and syncing.

2. Deal Registration Moves Out of the Inbox

Deal registration and deal collaboration are the features Draftable and its partners use most. Roughly half of partner deals now start in Journeybee instead of email, and that share is growing. Around 20–30% of the email threads, status chasing and duplicate data entry around each deal has already disappeared. Outcome: Around half of partner deals now start in Journeybee, and the share is climbing.

3. Partners Get Productive Faster

Partner onboarding is noticeably faster and more consistent, and new partners reach their first deal much sooner. Draftable’s onboarding timeline has shortened by around 30%. Partner engagement, measured by logins, deal registrations and resource downloads, is up by around 25–30%. Outcome: Around 30% faster onboarding and 25–30% higher partner engagement.

4. Clearer Attribution and Partner Insight

Before Journeybee, under a quarter of partner deals were visible early enough to forecast, and partner performance insight was limited. Draftable’s confidence in attributing partner-sourced pipeline has roughly doubled. Further gains are expected as Draftable moves more of its partner activity into one place. Draftable now has granular visibility into which partners drive growth. Outcome: Confident attribution has roughly doubled, with more centralisation planned.

5. A Platform That Grows With Draftable

Draftable sees Journeybee evolving to meet its scaling needs. Its requests went straight to Journeybee’s support and product teams, which made the changes. The API release removed the last blockers.

“We’re constantly getting in touch with the Journeybee support and product team to make changes, which they were doing, so kudos to them as well.” — Russell Ballard-Waters, Lead Customer Support Engineer, Draftable

Outcome: A PRM that keeps pace with Draftable’s partner program as it grows.

The Bottom Line

Draftable needed more than a standard CRM connector. With Journeybee’s API and a customer success team that stayed close through a difficult start, it built a partner engine that fits the way its business works. Half of partner deals have moved out of email, onboarding is 30% faster, and Draftable credits Journeybee with around 30% efficiency gains across its partner program.

Expert Advice for Modernizing Partner Management

Russell’s advice for other partner leaders:

  • Choose a PRM that fits naturally into your existing tools and CRM. If your CRM has a lot of edge cases, look beyond the native integration and check how deep the API goes.
  • Automate low-value tasks early. Taking deal admin, syncing and status chasing off the team’s plate frees them to focus on strategic growth.
